Client Profiles in MyMFG

A complete guide to client profiles in MyMFG, including how to create, edit, and delete profiles, manage household members, upload a client list, add prescriptions, doctors, and pharmacies, and archive clients.

A client profile in MyMFG is the central record for each client you manage. The client profile stores personal information, contact details, household members, medical information, prescriptions, enrollment history, activity history, and uploaded documents. All quoting and enrollment in MyMFG begins from a client profile.

Client profiles are accessible from the Clients menu in the MyMFG top navigation banner.


The Clients Dashboard

To access your client profiles in MyMFG, click Clients in the top navigation banner, then select View Client List. The Clients dashboard displays all client profiles associated with your MyMFG account, grouped into: Total Clients, Active Clients, New Prospects, and Archived Clients.

Use the Search your clients field or the Show Filters button to locate a specific client profile.


Creating a New Client Profile

  1. Click Clients in the top navigation banner and select View Client List.

  2. Click the Add A New Client button in the upper right corner of the Clients dashboard.

  3. Complete the required fields: First Name, Last Name, Gender (M or F), Date of Birth, and Primary Phone.

  4. Optional fields include Middle Name, Nickname, Suffix, SSN, Status, and additional contact information.

  5. Click Save Client to create the client profile.

Once saved, the new client profile appears in your Clients dashboard and can be used to run quotes and start enrollments.


Uploading a Client List

MyMFG allows you to bulk-upload an existing client list using the MyMFG Client Import Template.

  1. Click Clients in the top navigation banner and select View Client List.

  2. Click the Upload Client List button in the upper right corner.

  3. In the Upload My Client List dialog, click Download the Client Import Template.

  4. Fill out the template with your client information.

  5. Save the completed file, then click Choose File to select your file.

  6. Click Upload Client List to complete the upload.

Client Import Template Requirements

Required fields: First Name, Last Name, Gender (M or F), Date of Birth (MM/DD/YYYY), Home Phone, City, State (abbreviated, e.g. NC), Zip Code, and County. Do not rename, reorder, or delete any columns.

After the Upload

Once uploaded, clients appear in your Clients dashboard. Before running quotes for an uploaded client, open the client profile, click Edit, set the county selection, and click Save Client. This step is required before quotes can be run for any client added through bulk upload.

Note: External client export files from platforms such as HealthSherpa are no longer supported. Only the MyMFG Client Import Template can be used for bulk client uploads in MyMFG.


Editing a Client Profile

  1. Open the client profile from the Clients dashboard.

  2. Click the Edit button in the upper left corner of the client profile.

  3. Update any fields as needed.

  4. Click Save Client to save your changes.


Adding Household Members

A client profile supports the addition of a spouse and dependents. Click + Add Spouse or + Add Dependent at the top of the client profile, complete the required fields, and save.


Client Profile Tabs

  • Medical Info — stores doctors and pharmacy information. For Medicare quoting, providers and pharmacies stored here are available to carry into the quote.

  • Prescriptions — stores prescription medications. For Medicare quoting, prescriptions stored here are available to carry into the quote. DME cannot be searched or stored here.

  • Activity History — a log of notes and activity. Agents can add notes, upload documents, and create tasks.

  • MA Quote History — a record of Medicare Advantage quote results for this client.

  • EDE Eligibility — displays the client's ACA eligibility results from the EDE process. Click View to go directly to the client's ACA eligibility page.

  • Enrollment History — displays ACA and external enrollments.

  • SOA History — displays Scope of Appointment records sent and completed for this client.

Note: Medical Info and Prescriptions do not automatically filter or remove plans from quote results. They are reference tools used to review and compare plan coverage, not filters that limit which plans are displayed.


Viewing a Client's ACA Eligibility Page from the Client Profile

The EDE Eligibility tab on a client profile displays the client's ACA eligibility results from the Enhanced Direct Enrollment (EDE) process. Click View next to the client's application to go directly to that client's ACA eligibility page.

This is the fastest way to reach a specific client's ACA eligibility page. It replaces the previous process of navigating to Other > EDE ACA Agent Dashboard, locating the client's application, and clicking View Application.


Adding a Physician to a Client Profile

  1. Open the client profile and click the Medical Info tab.

  2. Under Physicians, click Add New Physician.

  3. Enter the physician's name in the Name field.

  4. Enter a ZIP code and radius in miles to search for the physician near a specific location.

  5. Click Search. Results display with the physician's name, specialty, and practice locations.

  6. Use the optional Filters to narrow results by name, city, or specialty if needed.

  7. Select the radio button next to the correct physician.

  8. Click Save selected Provider.

Physicians saved to a client profile are available to carry into the Medicare quoting process. For ACA quoting, physicians can be added manually within the application itself.


Adding a Pharmacy to a Client Profile

  1. Open the client profile and click the Medical Info tab.

  2. Under Pharmacies, click Select Preferred Pharmacies.

  3. Enter a ZIP code and radius in miles.

  4. Click Search to return nearby pharmacies.

  5. Select the pharmacy or pharmacies to add.

  6. Click Save Pharmacy Changes.

Pharmacies saved to a client profile are available to carry into the Medicare quoting process to compare plan coverage at the client's preferred pharmacy.


Adding a Prescription to a Client Profile

  1. Open the client profile and click the Prescriptions tab.

  2. Click Add New Prescription.

  3. Type the medication name in the Name field. MyMFG will search for matching medications as you type.

  4. Select the correct medication from the search results.

  5. Select the Dosage from the dropdown.

  6. Enter the Count (quantity per fill). This field is required.

  7. Select the Refill Frequency: Monthly, 2 Months, 3 Months, 6 Months, or 12 Months.

  8. Click Add Prescription to save.

If a medication cannot be found, click Drug Not Found? to flag the issue. The drug lookup tool supports prescribed medications only — DME cannot be added here.

Prescriptions saved to a client profile are available to carry into the Medicare quoting process. For ACA quoting, prescriptions can be added manually within the application itself.


Activity History and Document Uploads

Documents uploadable through the Activity History tab include general notes, SOA documents, external enrollment records, and DMI/SVI documents. DMI and SVI documents uploaded here are stored as a record only — they do not affect the status on the client's ACA enrollment. CMS reviews DMI and SVI documents through their own process.


Deleting a Duplicate Client Profile

  1. Open the duplicate client profile.

  2. Click the Client Actions menu in the upper right corner.

  3. Select Delete Client and confirm.

Only delete a profile if you are certain it is a duplicate or an error. Retain the profile that has enrollment history attached to it.


Archiving a Client

Archiving a client removes the client record from your active Clients dashboard view. Archived clients are no longer visible in your main client list but are counted separately under Archived Clients at the top of the Clients dashboard. Archiving does not delete the client profile or remove any enrollment history.

To archive a client in MyMFG:

  1. Click Clients in the top navigation banner and select View Client List.

  2. Click the Select to archive button above the client list.

  3. Select the client or clients to archive. The selected clients are archived immediately — there is no additional confirmation step.

Unarchiving a Client

To unarchive a client and return them to your active client list:

  1. Click Clients in the top navigation banner and select View Client List.

  2. Click Archived Clients at the top of the Clients dashboard.

  3. Click the Select to unarchive button above the archived client list.

  4. Select the client or clients to unarchive. They are returned to your active client list immediately.
